Sales Support Intern

Tasks & Responsibilities
1. Compliance:
• Completing DBS Checks, Right to Work and reference checks for contractors.
• Support with any internal Audits.
• Drafting contracts and extension paperwork.
• Completing reference checks for new contractors.

2. Supporting Executive Team
• You will support the CEO and Executive Leadership Team (ELT) with a variety of administrative tasks, including but not limited to:
– Scheduling meetings/travel.
– Preparing presentations and reports.
– Ad-hoc project work.

3. Sales Operations and Resourcing
• Identify and map candidates in specific regions/markets using LinkedIn and Bullhorn.
• Build targeted candidate lists and conduct outreach via phone, email, and LinkedIn.
• Screen candidates and compile detailed notes using internal templates.
• Create candidate shortlists, complete cover sheets, and submit profiles via client ATS platforms.
• Conduct data gathering and analytics using LinkedIn, Bullhorn, and Cube19.
• Identify and map decision-makers and contacts at target companies or VC firms.
• Research companies via online directories and event exhibitor lists.
• Build LinkedIn projects and headhunting/spec lists based on consultant criteria.
• Support consultants by populating distribution lists for mass outreach campaigns.

4. Travel
• Booking business travel for i-Pharm employees:
– This includes researching the most suitable and cost-effective options.
• Researching, planning, and booking company incentive trips. This will include planning itineraries, booking travel, hotels, activities etc.
• Ensuring that employees have appropriate travel documentation (passports, visas etc.)

5. Event Planning
• Organising company social events:
– Summer party, Christmas party and other ad hoc events.
– Company quarterly incentives.

• CSR and Charity Events:
– Identifying, planning and executing CSR and Charity initiatives for i-Pharm UK.

6. HR Support
• Pre-Employment Checks for New Starters, this includes reference checking and right-to-work checks.
• Onboarding of New Starters; first day set-up of desk, stationery etc.

7. General Administrative Support/Office Management
• Liaising with external visitors and suppliers.
• Ordering office supplies, fresh fruit, drinks etc.
• Planning and creating presentations for:
– Quarterly and Annual Sales Meetings.

Person Requirements
• Recent university graduate or current student.
• Advanced knowledge of Microsoft Office and Adobe.
• Great verbal and written communication skills.
• Ability to handle sensitive information with discretion.
• Experience of web publishing and familiarity of using content management systems e.g., WordPress.
• Strong administrative and organisational skills, with excellent attention to detail.
• A proactive mindset with the willingness to learn new skills and contribute to the team.
